01

When a brand change leaves documents fragmented

A company brand change had left salespeople working with a mixture of old and new document styles. The result depended on which files and templates someone happened to use.

James reports that salespeople were spending around six hours each per week creating documents. This was the prior workload, not a measured saving from the new workflow.

02

Building the house style into document production

The work combined a new set of templates with an always-on cloud agent. According to James's account of the deployment, staff could request documents through email, iMessage or WhatsApp.

The workflow used approved company information and the shared templates to generate documents in the company's house style. It could ask the requester for missing information before completing the document.

03

From a request to a usable output

The process brought the request, clarification and document generation into one route. Staff could describe what they needed through a familiar channel and receive a consistently styled document.

James reports individual document turnaround in minutes. That describes the time to produce an output; it does not establish a weekly time saving across the sales team.

How the work connects

From the information.
To the decision.

  1. 01Human input / decision

    Describe the document

A member of staff requests a document through a messaging channel. The founder account includes email, iMessage and WhatsApp.

  2. 02Human input / decision

    Clarify what is missing

The workflow can ask for missing information, which the requester supplies.

  3. 03Workflow step

    Use the shared sources

Approved company information and the selected template provide the content and house style.

  4. 04Workflow step

    Return the document

The workflow produces the document for the requester. The founder reports individual outputs in minutes.

The result

What changed

Template design, company information and document production became part of one repeatable workflow. Staff gained a straightforward way to request a document in the current house style, rather than relying on whichever old file they could find.
