When you make an enquiry
The form records your name, email address, company if supplied, message, selected area of interest and the page from which you enquired. We use these details to respond, understand your requirements and discuss possible work. Providing them is voluntary, but we need your name, email and a message to respond through the form.
Our lawful basis is our legitimate interest in responding to business enquiries and maintaining the resulting business relationship. Where you ask us to take steps towards a contract with you personally, we also process the necessary information for those steps. An enquiry does not subscribe you to marketing emails.
Enquiries are saved in the website database, sent to our enquiry inbox and passed to Zoho CRM so we can manage our response and follow-up. Please avoid including sensitive personal information or confidential business records in an initial message.
Running and protecting the website
We use OpenAI Sites and Cloudflare for hosting, database and delivery services, Google for our enquiry inbox and optional analytics, and Zoho CRM for enquiry and relationship management using our EU account. They receive the information necessary to provide their respective services. Authorised Novologix team members use enquiries to respond to you.
Hosting providers process network and device information to deliver and secure the site. To limit repeated form submissions, the form stores a digest derived from a network address that changes each hour. Expired rate-limit entries are cleared when subsequent valid enquiries are processed. The original address is not stored in the enquiry record. We rely on our legitimate interest in keeping the website reliable and preventing abuse.
International processing
Our providers operate internationally, including in the United States, so information may be processed outside the UK. Their published arrangements include recognised adequacy frameworks and standard contractual clauses with UK safeguards where required. You can read the arrangements for OpenAI, Cloudflare and Google, or contact us for information about the safeguards relevant to your enquiry.
Analytics and cookies
With your consent, Google Analytics measures page visits and successful enquiries, together with general device, browser and approximate location information. We do not send the contents of the contact form, your name or email address to Analytics. Advertising features and Google's automatic enhanced measurement are disabled.
Analytics loads only after you choose “Allow analytics”. Its first-party cookies, including _ga and a property-specific _ga_ cookie, are configured to expire after six months. A browser preference remembers your choice for 180 days. “Cookie settings” lets you decline or withdraw consent at any time; withdrawal stops future collection and removes the site's Analytics cookies. It does not undo processing carried out with your earlier consent.
The website and contact form work without Analytics. Read how Google processes information from sites using its services.
The site also stores your motion preference on your device when you choose to change it. This supports your requested display setting and does not track you across websites.
How long we keep information
We decide how long to retain an enquiry by whether the discussion is still active, whether it has led to a client relationship, and whether records are needed to resolve a complaint, establish an agreement or meet a legal obligation. We keep relevant information for those purposes and remove information when it is no longer needed. Client records may need to be kept longer than an initial enquiry. Contact us for the retention position for a particular record.
Your rights
You can ask for access to your personal information, correction, deletion or restriction of its use. You may also have the right to receive certain information in a portable format, depending on the basis for processing. We do not use this website to make solely automated decisions with legal or similarly significant effects on you.
Your right to object
You have the right to object to processing based on our legitimate interests. Email hello@novologix.co.uk and explain which use concerns you. You can also withdraw Analytics consent using “Cookie settings”.
